Welcome
Freyja Smith (Team Leader) welcomed everyone to the meeting, and thanked them for attending.
Approval of Minutes
The AGM Minutes 2025 were proposed by Emma Smiton and seconded by Nick Thompson.
Committee Reports
Reports from the members of the committee were presented, and these are available at Annual Report 2026.
Approval of Accounts
The accounts were proposed by Nick Thompson and seconded by Adam Taylor.
Changing of Financial Year Dates
Caleb Williams (Financial Coordinator) proposed that we change our financial year reporting dates to align with those used by Gilwell. This was accepted by those in attendance, and agreed to start as of this year.
Elections
Three positions were up for election this year, the Events Coordinator role, the Social Media Coordinator role, and the Digital Coordinator role.
Nina Sparks and Jon/Beth Harris both stood for the Events Coordinator role, and Jon/Beth Harris were re-elected after a vote. Sarah Paget was the only person who stood for the Social Media Coordinator role, and was re-elected without a vote. James Baker was the only person who stood for the Digital Coordinator role, and was re-elected without a vote.
HQ Management
Freyja Smith made everyone aware that her former line manager is no longer in post, and that they have not yet found a replacement. Lewis Dangerfield, UK Lead Volunteer for Programme and the KSWP's next line manager, is also stepping down. Gilwell are looking for applicants for both positions, and Freyja said that it would be good to have KSWP representation in one (or both) of these roles. Anyone interested in applying should speak to Freyja.
Awards
Freyja Smith has received awards for two people, but neither were present to receive them so Freyja will arrange for them to be presented locally or at a different event.
Any Other Business
WINGS
James Baker said that we were still looking for a few more people to support with the KSWP activity at WINGS this summer (for either part of the week, or the full week). Anyone interested to sign up as soon as possible and let James Baker know once they have done so. Non-KSWP members are also welcome to join the team for the event, so a request was made for people to share details with anyone they think might be interested.
Social Media Deputy
Sarah Paget, the current social media coordinator, is keen to have one or more deputies to help with running the social media accounts. Anyone interested in doing this should get in touch with Sarah.
Zoom AGM
Freyja Smith said that she had been approached by several members asking about the possibility of joining future AGMs remotely. In the past, this hasn't been possible due to poor signal and lack of WiFi at the 12th Windsor Scout Hut, but there is now WiFi available at the hut and speed tests showed it would be suitable for video calls. It was agreed that this would be trialled at the next AGM.
Committee Weekend
Freyja Smith made everyone aware of plans to hold a committee "away weekend" later in the year, to give the committee an opportunity to work through some issues currently facing the KSWP without trying to do it alongside supporting another event. This would be funded by the KSWP.

Rachel Harrison gave a short presentation about her Meritorious Conduct award.
Meeting Close
Freyja Smith closed the meeting after 44 minutes, which was followed by a Windsor staff briefing and a pizza social.
