Welcome

James Baker (Manager) welcomed everyone to the meeting, and thanked them for attending.

Approval of Minutes

The AGM Minutes 2020 were proposed by Mick Hart and seconded by Hannah Dyer.

Committee Reports

Reports from the members of the committee were presented, and these are available at Annual Report 2021.

Following Claire Mollart's report, James Baker thanked her for her time on the committee and Claire was presented with a thank you gift on behalf of the QSWP.

Approval of Accounts

The accounts were proposed by Nick Burring and seconded by Louise Azavedo.

Elections

One position was up for election this year, the Membership Coordinator role.

Mick Hart and Nina Sparks both stood for Membership Coordinator, and each gave a short pitch as to why they should be elected. An online, anonymous vote was then held and Nina Sparks was elected into the position.

Socials

Weekend Away

James Baker mentioned that the usual date of October for Weekend Away would potentially clash with the Everest Base Camp trip this year, and that alternatives were instead being looked at. The current thinking is to look at holding it in September - either on the first weekend of September if Gilwell Reunion doesn't go ahead as a face-to-face event, or on a later weekend. It is not yet known whether Gilwell Reunion will go ahead or not this year. Any event would be subject to both national and Scouting COVID-19 restrictions.

Further information about the Weekend Away will be shared as soon as it is known.

Quizzes

James Baker said that 35 quiz evenings had been run by Hayley Butterworth and himself to date, and that these were generally being held every other week. It was noted that the quizzes have been fundamental in keeping the QSWP together during a period where we haven't been able to support face-to-face events, and has helped keep both new and old members engaged. However, as lockdowns begin to lift we will need to reconsider the frequency of the quizzes, and it is intended that James and Hayley will consult the QSWP membership regarding this over the coming weeks and months. Given the value provided by the quiz, it is hoped that virtual socials will continue in some form (albeit not as regularly) even once face-to-face events and socials resume.

Everest Base Camp 2021

James Baker clarified that whilst the Everest Base Camp trip was originally to be run as a Scout trip, current Scouting rules prevent international trips until at least January 2022. The trip will therefore be running as a non-Scout trip, despite the majority of attendees being QSWP members. If anyone is interested in attending and hasn't yet signed up, they need to contact James as soon as possible as accommodation and flights may be limited.

James showed off a new QSWP t-shirt design that Caroline McCann has produced to celebrate the trip, and this design will now be the main design used on new QSWP t-shirt and hoodie orders (although for a limited time it is possible to request the 75th Anniversary when ordering). The design was produced prior to the decision to run the Everest Base Camp trip as a non-Scout trip, and so it has been decided we will continue to use the design despite this.

Caroline McCann, who is leading the Everest Base Camp trip, reiterated that the trip isn't being run as a Scout trip; and stated that, as we aren't using Scout insurance and the costs have all been paid individually direct to the travel company, we can't at this stage cancel the trip without losing our money. As such, the trip has to continue or everyone would lose the money already committed (unless national rules in UK or Nepal prevent it from happening, in which case it would be postponed).

Any Other Business

Thank you from Tim Kidd

UK Chief Commissioner Tim Kidd thanked everyone in the QSWP for their continued support. He said that national Scouting relies heavily on the QSWP to support events, and that we can expect this to continue in the future as face-to-face Scouting resumes.

James Baker pointed out that Tim Kidd steps down from the position of UK Chief Commissioner in September, and took the opportunity to thank Tim for everything he's done, and particularly for his support of the QSWP over the years.

A group photo was taken of everyone using Zoom, and this will be shared via Facebook afterwards.

James Baker closed the meeting, which was followed by a virtual Pub Quiz social organised by Hayley Butterworth and James Baker.
