James Baker (Manager) welcomed everyone to the meeting.

Approval of Minutes

The AGM Minutes 2018 were proposed by James Hage and seconded by Andy Loring.

Committee Reports

Reports from the members of the committee were presented, and these are available at Annual Report 2019. James Baker read the report of Caroline Hicks (Membership Coordinator) in her absence.

During Sarah Paget's (Social Media Coordinator) report, Sarah asked whether we could vote on setting up a new Instagram account for the QSWP to target a younger audience. James Baker stated this didn't need a vote, and that Sarah could continue with setting up the account. This was subsequently done, and is available at https://www.instagram.com/qswp_uk/.

Approval of Accounts

A question was raised by Andy Loring regarding the deduction of 27p from all membership payments. Emma Panton (Financial Coordinator) and James Baker explained this is the fee charged by Stripe for using their service, but that it was felt the 27p was worth the reduction in administration.

The accounts were proposed by Phil Jones and seconded by Bev Martin.

Elections

One position was up for election this year, the Financial Coordinator role. Phil Jones stood unopposed, and was unanimously elected for the position. James Baker thanked Emma Panton for all her hard work over the past 3 years, and presented her with a thank you gift.

Next year, the Manager, Events Coordinator and Social Media Coordinator all reach the end of their term and will be re-elected.

75th Anniversary

James Baker explained what was happening at the 75th Anniversary event in October, and encouraged people to sign up soon as we have a limited number of beds left in our current accommodation. It may be possible to book additional accommodation, but we can only do this if there is sufficient demand so the earlier people sign up the better we can make this assessment. Those who have signed up but not paid are shown as Registered on the Portal event, whereas those who have also paid are shown as Allocated. Those not on the Portal (e.g. old members and guests) are being tracked separately.

At the time of the AGM, 44 of the 56 spaces for the full weekend had been taken with the remaining places not yet confirmed (but more than enough people showing interest). An additional 15 people have confirmed just for the evening event. In total, more than 100 people are expected to attend once final numbers are in.

75th Anniversary merchandise is available via the Carrie Lou embroidery shop, and 75th anniversary badges are available via the Portal shop.

Any Other Business

Essex International Jamboree

The QSWP are running the Enterprise zone at Essex International Jamboree in 2020, which is based around the idea of running a sweet making business. We will be catering for 1200 people a day, and are hoping to staff the entire zone with QSWP staff. Currently, 16 of the 32 required staff have signed up - so if you're interested, please sign up via the Portal. The cost for the event is £100, which includes catering.

If you sign up before the end of May, you will be guaranteed a space. After that, you will be in competition with non-QSWP members who want to work on the zone and are not guaranteed a space.

Neckers

We are aware of the quality issues with the last few batches of neckers, but the current supplier (Simply Neckers) is not able to offer neckers matching the original quality. Alternate suppliers are being sought.

If anyone has an old necker and lives near Stockport, please get in touch with James Baker as we are looking for someone to take an example of an old necker in to one potential supplier for them to look at the material and provide a quote.

Current stocks of necker are very low, so please don't lose yours as we need them all for new members attending events over the next few months.

Tim Kidd

Tim Kidd (UK Chief Commissioner) thanked the QSWP for all their hard work at events, and encouraged members to actively promote the top awards.

GeoCache Trackables

Bev Martin provided an update on the 4 GeoCache Trackables that were released a couple of years ago. Several of them have travelled thousands of miles, and one of them is still active and regularly being logged.

Events

Rob Williams reminded everyone that they are still looking for people to help out with ShireJam - for details, please see the Portal. James Baker also reminded everyone that there were lots of events currently available on the Portal, and more to come. He reminded everyone of the challenge he set everyone in his report, which is for everyone to attend an event they haven't attended before this year.

EuroJam

Sarah Paget invited anyone who was interested in EuroJam to speak to her as she is part of the Jamboree Planning Team.

James Baker closed the meeting, which was followed by a Windsor briefing from Miles Battye and Peter Rodgers and then pizza.
